POLICY:
To establish a valid and uniform Policy for building use, which is consistent and appropriate within the Chapel’s mission and complies with insurance regulations and restrictions.
SCOPE:
All use of buildings, including all space in Silver Hall, shall follow this Policy and Procedure and is applicable to all not- for -profit organizations, for- profit organizations and individuals other than Chapel related.
PROCEDURE:

SCOPE:
All use of buildings, including all space in Silver Hall, shall follow this Policy and Procedure and is applicable to all not- for -profit organizations, for- profit organizations and individuals other than Chapel related.
PROCEDURE:
- Requests for use of space in Silver Hall, for any purpose other than Chapel programs, shall be submitted in writing and include the name of the requester, the date, time, purpose, and number of attendees to the Church Administrator. Final approval is agreeable to the Pastor.
- No rent is charged for use of a room by a not-for-profit group.
- Donations for building use are accepted.
- A separate Policy applies to requests for use of Silver Hall for Wedding Receptions, and Memorial Receptions.
- Any first time request for use of space by Chapel group or organization may be considered by Communication and Resources Team and, if approved a fee, with deposit of $75.00 shall be assessed to secure the space. Fees of $75/hour for Silver Hall, $25/hour for Library or Session Room shall be charged and includes set up and clean up time. Fees may be waived for those groups that are deemed community service (Fire Department, Kiwanis, etc). The deposit may be applied to the rental fee, following inspection of the premises and determination that no damage has been found.
- All uses of buildings shall be within the parameters set by Chapel insurance policies, and deemed appropriate by the Session.

REGULATIONS/GUIDELINES FOR THE USE OF CHAPEL BY THE SEA PRESBYTERIAN CHURCH, SILVER HALL
- Scheduling and use of Silver Hall must be requested through the Church Administrator.
- A key holder/group leader is responsible for opening and closing the room(s) used.
- NO ALCOHOLIC BEVERAGES or ILLEGAL DRUGS are permitted on the grounds.
- SMOKING IS PROHIBITED.
- If children under age 18 are attending functions in Silver Hall, no skateboards, rollerblades or scooters are permitted on the grounds. Children MUST BE supervised by an adult at all times.
- Room 5 will be normally be available to AA, Scouts and other community organizations.
- CLEAN UP policy – Used room(s) MUST be cleaned and returned to the same condition as found. This includes replacing furniture in original locations.
- All garbage and trash MUST be removed from tables, picked up from the floor, and placed in plastic garbage bags.
- On Saturdays the use of the building by community groups is normally prohibited, so as to provide as clean and well-maintained property for Chapel's Sunday events.
- KITCHEN POLICY – Stoves, refrigerators, freezers, dishwasher, ice machine and coffee makers ARE NOT to be used by community groups, except with special permission. Work tables, counters and sinks MUST be left clean and orderly. Outside groups MUST supply their own coffee makers, coffee, tea, sugar, creamers, paper products, ice, ice chests and utensils.
- Tables MUST cleaned, and the tables and chairs returned to the original setup, as found.
- Pianos may NOT be used without contacting the Music Director.
- Only freestanding decorations may be used. Decorations on walls, drapes, are not allowed.
- Burning of candles or incense is not allowed because of fire hazard.
- The Chapel does not furnish tablecloths to community groups.
- Restrooms MUST be checked prior to leaving, and MUST be left in a clean and neat condition.
- If only Silver Hall has been approved for use, side rooms MAY NOT be used.
- The public address system MAY NOT be used without prior authorization of the Church Administrator.
- All interior lights MUST be extinguished when exiting.
- Check to assure all unlocked doors are securely locked upon departing the building.
- If there is a non-emergency problem with equipment or facility please notify the Sexton.
- In case of an emergency call 911 if needed.
It shall be the responsibility of the Church Administrator and Sexton to ensure compliance with this Policy.
